Where Excel still shines
- Working through a stock count line by line
- Bulk updates to prices, categories or reorder details
- Ad-hoc analysis with formulas and pivot tables your team already knows
- Sharing a quick view with someone outside the system
How it usually breaks
The common pattern is export, edit, re-import. It works the first time. Then it goes wrong in familiar ways:
- The export is a snapshot, so it’s out of date the moment it’s saved
- Someone edits an old copy and imports yesterday’s numbers over today’s
- Column order or formats drift, and the import fails or lands in the wrong field
- Nobody can tell which changes came from the spreadsheet and which from the system
Four rules for using both safely
- 1The system is the source of truth
Excel is where you work on the data, not where the data lives.
- 2Always start from fresh data
Pull the latest numbers when you begin, not from a file saved last week.
- 3Push changes deliberately
Send updates back as a clear, reviewable step, not by overwriting a whole table.
- 4Save the routines you repeat
If you run the same count or report every week, turn it into a template.
How Converge handles it
Converge is an Excel add-in that connects Excel to Valyxto. Pull inventory and orders into a workbook, work with the formulas you already know, and push changes back. Data flows from Valyxto into Excel, and changes flow back from Excel into Valyxto.
A typical weekly count looks like this: pull stock by location into a sheet, enter what was counted, review the lines that differ, then push the changes back. Save it as a template and next week starts in seconds.
Keep Excel for what it’s good at. Let the system keep the record.
We’ll show you how it fits the reports and updates you run today.
